SmartBid provides job-opportunity intelligence and AI-assisted application tools for freelancers. This Privacy Policy explains what information we collect, how we use and share it, how long we keep it, and the choices and rights available to you when you use our website and application. SmartBid is operated by algoMosaic LLC, doing business as SmartBid, located at 251 Little Falls Drive, Wilmington, DE 19808-1674. Privacy inquiries: legal@getsmartbid.com. 1. Scope
This Privacy Policy applies to www.getsmartbid.com, app.getsmartbid.com, and SmartBid’s account, profile, job-discovery, market-intelligence, application, billing, email, support, and related services. Third-party websites and platforms have their own privacy policies. SmartBid is independent and is not affiliated with or endorsed by Upwork.
2. Information SmartBid Collects
We collect information you provide, including your name, email address, display name, account preferences, professional profile, skills, experience, job preferences, work history, portfolio links, resumes, LinkedIn exports, profile text, application drafts, edits, outcomes, feedback, and support communications. Google Firebase processes authentication information and account session identifiers; SmartBid does not receive or store your Google password. Stripe processes card and payment information. SmartBid receives subscription plan and status, customer and subscription identifiers, invoice or transaction metadata, and payment-status events, but does not directly store complete payment-card numbers. We also collect IP address, device and browser information, operating system, timestamps, referring page, approximate location where available, pages viewed, features used, consent choices, product events, security and error logs, and AI-generation metadata such as model name, token counts, latency, status, and trace identifiers. SmartBid processes job listings and marketplace data from approved sources and may use a profile URL or imported document you provide to build and personalize your SmartBid profile. We do not request Upwork passwords or session credentials.
3. How SmartBid Uses Information
SmartBid uses information to create, authenticate, secure, and support accounts; import and maintain profiles; match users with job opportunities and market signals; generate AI-assisted summaries, recommendations, analyses, and application drafts; meter feature usage and enforce plan limits; process subscriptions; send transactional, lifecycle, security, and user-authorized communications; provide support; improve usability and reliability; monitor performance; prevent fraud and abuse; and comply with legal obligations or defend legal claims. Where relevant and applicable, processing may be based on contract performance, legitimate interests, consent for optional analytics or marketing, or legal obligations.
4. AI-Assisted Processing
Relevant profile information, job details, and application context may be sent to Google Vertex AI/Gemini to generate profile summaries, career highlights, job analyses, recommendations, and application drafts. AI-generated content may be inaccurate, incomplete, or unsuitable, so users should review and edit it before use. SmartBid may store prompts, outputs, model information, token counts, latency, status, and errors for service operation, support, auditing, safety, and quality evaluation. PostHog AI-observability events contain operational metadata such as model, token counts, latency, template name, status, and trace identifiers. SmartBid is designed not to send resume text, profile content, job descriptions, prompts, or generated drafts in those events. SmartBid does not use your personal content to train a public SmartBid AI model. Our AI providers process information under their applicable service terms and data-processing commitments.
5. Cookies, Local Storage, Analytics, and Replay
Essential cookies and similar storage support authentication, security, session continuity, and saved consent choices. Optional PostHog analytics uses local storage and cookies only after analytics consent where required. You may choose Essential only without losing core account functionality, and may change analytics consent through cookie preferences. When consent is granted, PostHog processes page views, feature interactions, device information, surveys, and product events. PostHog session replay is enabled in production; SmartBid seeks to mask or exclude sensitive fields and does not intentionally record passwords or complete payment details. Sentry processes diagnostic information, errors, and user-submitted bug reports.
6. How SmartBid Shares Information
SmartBid does not sell personal information. We may disclose information to service providers acting on our behalf; payment and subscription providers; AI, email, support, analytics, security, and monitoring providers; users’ authorized recipients; authorities where required by law or valid legal process; and parties needed to protect SmartBid, users, or others from fraud, abuse, or security threats. Information may also be disclosed as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate notice and protections.
7. Named Service Providers
Google Firebase provides authentication and account sessions using name, email, authentication identifiers, and session information. Google Cloud Platform and Cloud Storage host databases, processing, private file storage, and operational infrastructure for account, profile, application, upload, and operational data. Google Vertex AI/Gemini provides AI-assisted generation and analysis using relevant profile, job, and application context, prompts, and outputs. Stripe provides checkout, payment processing, subscription management, and billing portal services. PostHog provides consent-based product analytics, surveys, and AI-generation observability. Sentry provides error monitoring, diagnostics, and bug reports. Loops provides transactional, lifecycle, and authorized product email.
8. Data Retention
User-deleted profile-import files are removed from private storage when the user deletes the import. Soft-deleted profile-import database records are permanently removed after 30 days. Abandoned or unconfirmed profile imports are removed from private storage and the database after 90 days. Confirmed profile imports are retained until the user deletes them or the account-deletion process applies. Billing and transaction records are retained as required for accounting, tax, fraud-prevention, dispute, and legal obligations. For categories without a fixed period stated above, SmartBid retains information only for as long as reasonably necessary for the purposes described in this policy, including providing the service, maintaining security and auditability, resolving disputes, and meeting legal obligations. Retention takes account of the nature and sensitivity of information, risk of harm, operational requirements, and applicable law. Deletion from backups and provider systems may occur on their normal expiration or deletion schedules.
9. Account and Data Deletion
You may request deletion of your SmartBid account and associated personal information from Settings by selecting Request account deletion, or by emailing support@getsmartbid.com from the email address associated with your account. SmartBid acknowledges requests within one business day and aims to complete verified requests within seven business days. We may verify identity using the account email or other proportionate methods; we will not ask for a password, authentication token, or complete payment details. Active subscriptions are canceled as part of verified account deletion. SmartBid deletes or anonymizes applicable profile, upload, application, proposal, AI-run, usage, communication, and analytics identity information where reasonably possible. Some billing, security, fraud-prevention, legal-claim, or compliance records may be retained when required or permitted by law. We will explain material retained information, the reason, and the expected retention period where applicable.
10. User Choices and Privacy Rights
Depending on your location and applicable law, you may request access to, correction of, deletion of, or a copy of your information; request portability; object to or request restriction of certain processing; withdraw consent for optional analytics or marketing; unsubscribe from marketing and product-update emails; or lodge a complaint with an applicable privacy regulator. Necessary transactional, billing, security, and account-service messages may still be sent while an account is active. SmartBid may verify identity before fulfilling a request and may deny or limit a request where an applicable legal exception applies.
11. International Processing
SmartBid and its providers may process information in the United States and other countries in which they operate. Privacy laws in those countries may differ from the laws of your home jurisdiction. SmartBid does not describe specific transfer mechanisms in this policy unless those safeguards have been confirmed for the relevant processing.
12. Security
SmartBid uses encryption in transit, private cloud storage for uploaded profile files, logical user-data isolation and access controls, restricted administrative access, environment and secret separation, monitoring, rate limiting, and abuse prevention. No method of transmission or storage is completely secure, so SmartBid cannot guarantee absolute security.
13. Email Communications
Loops delivers transactional, lifecycle, and authorized product email. You may unsubscribe from marketing and product-update messages through the email or account preferences. Unsubscribing from marketing does not suppress essential security, billing, account, or service messages.
14. Third-Party Platforms
SmartBid is independent and is not affiliated with or endorsed by Upwork. SmartBid does not store Upwork passwords or session credentials and does not automatically submit proposals or applications. Users control what they submit and remain responsible for complying with the rules and privacy policies of Upwork, LinkedIn, and other third-party platforms.
15. Children’s Privacy
SmartBid is not intended for individuals under 18. Anyone who believes SmartBid has collected information from a person under 18 may contact legal@getsmartbid.com so the matter can be investigated and the information deleted where appropriate.
16. Policy Changes
SmartBid may revise this Privacy Policy and will update the effective date. For material changes, SmartBid may provide notice through the application, email, or a prominent website notice as appropriate. Where applicable law requires a new affirmative consent, SmartBid will seek it before relying on the changed processing.
